School of Pharmacy - Clinical Coordinator

Summary: 

The Clinical Coordinator reports directly the Director of Experiential Education and secondarily to the Dean of the D’Youville School of Pharmacy (DYUSOP). The Clinical Coordinator will collaborate closely with administrators, faculty, and staff, as well as various outside stakeholders, in the development, implementation, and ongoing improvement of high quality and pedagogically sound experiential offerings. In particular, the Clinical Coordinator directly supports the Office of Experiential Education and its Director in all aspects of the School’s Introductory and Advanced Pharmacy Practice Experiences with a particular focus on finding, establishing, and placing student pharmacists within the School’s 3-year legacy, and 3-year in-person and online pathways.

Responsibilities: 

Introductory Pharmacy Practice Experiences (IPPEs; P1-P3 years):

  • IPPE scheduling for trimesters 1-6 including, setting up contracts with any new sites for IPPE rotations, and participating in the vetting of both the site and preceptor.
  • Certificates of Insurance - ongoing emails to Lawley Insurance for new affiliated IPPE rotation sites
  • License requirements for out of state and international (Canada) rotations.
  • Check student requirements for out of area intern permits.
  • Site On-Boarding for IPPE rotations (add new preceptor to CORE EMS, preceptor eligibility, affiliation agreement, solicit preceptor availability, maintain relationship with preceptors, and add availability)
  • Arrange and participate in preceptor and site visits (all year) either in person or virtual
  • IPPE debrief scheduling and planning for trimesters 1-6
  • Understanding of CORE (scheduler, assessment EMS, preceptor training and match creation)
  • Update, maintain, and delivery of IPPE (and APPE) assessments and assignments
  • HIPPA and Blood Borne Pathogens Training Requirements
  • Updating of Student Manuals
  • Work with Director to check on submitted assignments and assessments in CORE EMS.
  • Verify yearly immunization requirements and yearly updates: Flu, PPD, Tdap, COVID, and site-specific
  • Participate in Clinical Coordinator meetings on the campus (1 hour/ 3-4 times per year)
  • Daily unplanned tasks or student concerns/ issues that may arise

Advanced Pharmacy Practice Experiences (APPEs; P4 year)

  • APPE scheduling trimesters 7-9 such as process any new student rotation requests-new site affiliation agreements, APPE orientations (Financial aid/Student accounts, APPE assignments and RxPrep), daily schedule assistance with students, schedule assistance with preceptors and collect longitudinal assignment sheets from APPE students, and participating in the vetting of both the site and preceptor.
  • Check student requirements for out of area intern permits
  • APPE Rotations – Soliciting preceptor availability and for new preceptors solicit preceptor eligibility forms, site requirements and student on-boarding, vet site via phone or site visit, send personal email with all information attached, and set up site, preceptor and rotation in CORE EMS, check for certificates of insurance for all clinical sites.
  • International Rotations abroad - coordinate with students and preceptors
  • CORE EMS APPE Ranking Cycle including student ranking process, APPE Match process, analysis of student schedules, release of APPE schedule to students (ongoing adjustments as necessary), and open APPE schedule to preceptors
  • CORE EMS duties and responsibilities for APPE block maintenance:
    • Preceptor and student emails one week prior to new block
    • Preceptor and student email reminders for the ending block
    • Mid-Point Evaluations (telephone and email check in with preceptors)
    • Check final evaluations (student and preceptor – follow up with emails from CORE EMS, personal emails and phone calls if delinquent)
  • Checking registration using the BI Launch Pad (also for IPPEs) and making sure students are registered for all correct experiential courses.

Qualifications: 

Education: 

  • Associate’s or Bachelor’s (preferred) degree

Experience: 

  • Experience in a business or educational setting.
  • Management background or equivalent professional history

Pay: $42,000.00 - $45,000.00 Annually
